Overview

Siberson Veriket Data Classification brings data security directly into the tools end users work with every day on macOS. Classification, labeling, and encryption are accessible from Finder Quick Actions, Microsoft Office applications, PDF and any other file types, and the macOS menu bar — without requiring the user to open a separate console or leave their workflow.

This guide walks through the end-user experience on macOS, from locating the classification controls to completing a full classification and sensitivity declaration.

Who should read this  Any employee on macOS who creates, edits, or shares documents containing internal, confidential, or regulated information (personal data, financial records, intellectual property).

Access Points

Siberson Veriket Data Classification surfaces its controls in three complementary locations on macOS, so the user can classify data at the most natural point of interaction.

1. Finder — Right-Click → Quick Actions

Right-clicking any file in Finder and opening Quick Actions exposes the Veriket classification levels directly, alongside macOS’s native quick actions (Rotate Left, Markup, Create PDF, Convert Image, Remove Background).

Available classification levels appear with a red V icon:

  • Internal

  • Public

  • Secret

  • Top Secret

Selecting a level opens the Veriket Information Form for that file. This allows users to quickly classify or reclassify documents from Finder without opening them.

2. Microsoft Office Ribbon

Inside Word, Excel, PowerPoint, and Outlook on macOS, Veriket adds a dedicated VERIKET group to the ribbon. The ribbon buttons reflect the currently applied classification and sensitivity context — for example:

  • Veriket — opens the Veriket Information Form

  • Genel (or the active classification level: Critical, Top Secret, Secret, Internal, Public)

  • Kişisel Veri İçermez (or the active sensitivity designation)

This approach keeps classification visible and editable throughout the document’s authoring lifecycle on macOS Office.

3. macOS Menu Bar

The Veriket agent runs in the macOS menu bar (top of screen, next to other status icons), providing status, quick access to settings, and visual confirmation that the classification service is active on the endpoint. The Veriket V icon is always visible while the agent is running.

The Classification Workflow

When a user initiates classification — from the Finder Quick Actions menu or the Office ribbon — the Veriket Information Form opens. The form is organized into two tabs: Classification and Sensitivity.

Tab 1 — Classification

The Classification tab captures the business sensitivity of the document and the context in which it was detected.

Policy section. If Veriket’s automated engine has detected sensitive content, the matching policy is displayed (for example, Personal Data Policy), together with the Policy Message explaining the finding ("This content contains personal data!") and the Detected Keywords that triggered the match. This gives the user immediate insight into why classification is being requested.

Classification section. The user selects one of the available sensitivity tiles, each color-coded:

Level Color Typical Use
Top Secret Red Data with the most restricted access inside the organization
Secret Orange Data that may be less restrictive internally, but which could cause damage if disclosed
Internal Yellow Proprietary data disclosed outside the company on a limited basis only
Public Gray Publicly available data, the least sensitive data used by the company

Watermark Options. macOS gives the user three explicit checkboxes to control how visual labels are applied:

  • Print Header — adds the classification label to the document header

  • Print Footer — adds the classification label to the document footer

  • Print Watermark — applies a diagonal watermark across the body

All three are enabled by default. Selecting Next advances to the Sensitivity tab.

Tab 2 — Sensitivity

The Sensitivity tab captures personal-data context and regulatory attributes, which are essential for KVKK and GDPR compliance.

Sensitivity section. The user declares one of three states:

  • Special Qualified Personal Data — describes data related to race, ethnicity, political opinion, philosophical belief, religion, sect or other beliefs, costume and dress (highest-risk category under KVKK / GDPR)

  • Contains Personal Data — refers to any information relating to an identified or identifiable natural person

  • Not Contains Personal Data — confirms the document carries no personal data

Personal Data Types. When personal data is present, the user specifies the categories involved through a checkbox list. Available types include Belief Data, Health Data, Sexual Content, and any custom types defined for the organization. Multiple categories may be selected.

GDPR section. A short series of dropdowns captures the legal basis and handling rules for the document:

  • Has the person’s explicit consent been received for this content?Yes / No

  • Can this content be exported?Yes / No

  • Data retention period is 7 years. If different, please select? — numeric value (years)

These fields produce a structured, per-document record that significantly strengthens the organization’s compliance evidence.

Selecting Close commits the classification and sensitivity metadata to the file. Previous returns to the Classification tab.

File Encryption

For documents requiring protection beyond classification and watermarking, users can invoke Veriket File Encryption directly from Finder. The encryption dialog displays the full file path and offers two options:

  • Add Password — protects the file with a password that must be supplied before decryption

  • Delete Original File? — securely removes the unencrypted source after encryption completes

Selecting Encrypt File completes the operation; Cancel aborts without changes.

Visual Indicators on Classified Files

Once a file has been classified, Siberson Veriket Data Classification applies visible cues both inside and outside the document.

Finder tag. In Finder, classified files display a colored dot next to the filename — a native macOS Finder tag mapped to the classification level. For example, an Internal file appears with a yellow tag, Secret with an orange tag, Top Secret with a red tag. This integrates Veriket’s classification visually with macOS’s standard tagging system, providing an at-a-glance indication that the file carries persistent classification metadata.

Document watermarks. Headers, footers, and body watermarks appear inside the document according to the classification level and the Watermark Options selected during classification.

Metadata. The classification label, sensitivity declarations, and GDPR attributes are embedded in the file’s metadata. They remain with the file as it moves across systems, users, and organizations — ensuring downstream enforcement tools, including Siberson Verikor DLP, can read and act on them.

Best Practices for End Users

  • Classify at creation. — The most reliable point to classify a document is the moment it is first saved. The Office ribbon on macOS is designed to make this a one-click habit.

  • Respect the Detected Policy suggestions. — When the Policy section surfaces a detected pattern (such as a personal identifier or financial number), treat it as a strong signal that the document contains regulated data and classify accordingly.

  • Use encryption for external sharing. — Classification and watermarks signal sensitivity, but they do not restrict access. For documents leaving the organization to untrusted recipients, combine classification with Veriket File Encryption.

  • Keep GDPR declarations accurate. — The consent, export, and retention fields are not informational — they become part of the compliance record for the document and may be reviewed during audits.

  • Do not downgrade without justification. — Reducing a file’s classification level (for example, from Secret to Internal) should reflect a genuine change in sensitivity, not a convenience decision. Administrators may receive alerts on unusual downgrade patterns.

Frequently Asked Questions

Do I need to classify every file I create?

Your organization defines this policy. Veriket can be configured to require classification on save, to prompt the user, or to apply a default classification automatically.

What happens if I ignore the classification prompt?

Depending on organizational policy, the file may be saved with a default classification, or the save operation may be blocked until classification is provided.

Will my classification travel with the file if I send it outside the organization?

Yes. Classification metadata, watermarks, and visual markings are embedded in the file itself and remain attached regardless of destination — including when the file is opened on Windows or other platforms.

Can I change a classification after applying it?

Yes, through the same Finder Quick Actions menu or Office ribbon. Changes are logged for audit purposes.

Does encryption replace classification?

No. Encryption and classification serve different purposes. Classification identifies what the data is; encryption restricts who can access it. They are most effective when used together on high-risk documents.

Why do I see Turkish labels in some places (e.g. "Evet", "Kişisel Veri İçermez")?

The Veriket macOS client follows the system locale and the organization’s deployment configuration. Labels can be standardized to English or Turkish through the admin console.
